Reservation & Rental Policies

1. Reservation Deposit ($50 Non-Refundable)

To secure equipment for specific dates, BlackRazor Rentals requires a $50 reservation deposit, payable by credit or debit card.

A valid Driver's License is also required at the time of booking.

Once payment is processed, the equipment is reserved exclusively for your selected timeframe and removed from availability to other customers.

The $50 reservation deposit is applied toward your total rental balance. It is NOT an additional fee.

Due to limited inventory and scheduled delivery windows, all $50 reservation deposits are non-refundable.

2. Cancellation & Rescheduling Policy

We understand that schedules can change. However, because equipment is reserved exclusively for your project and delivery windows are limited:

  • Reservation deposits are non-refundable.
  • Deposits will not be credited to future rentals.
  • Deposits are forfeited if you cancel, reschedule, arrive late, are unavailable for delivery, or fail to provide required documentation.

That said, we will make every reasonable effort to accommodate rental date changes whenever possible. Date adjustments may be allowed if the equipment is available and not already reserved by another customer.

We strive to work with our customers to do everything we can to meet scheduling needs; however, availability cannot be guaranteed once dates are reserved by another renter.

This policy ensures fairness to all customers and protects equipment availability.

3. Payment in Full Requirement

Full payment of the rental balance is required on or before the day of delivery (prior to equipment release).

Equipment will not be delivered or released until:

  • Payment in full is received
  • The Rental Agreement is signed
  • The Liability Waiver is completed

4. Required Documentation

Before making a reservation, renters must provide:

  • Valid Driver's License
  • Certificate of Insurance (COI), unless EPF is selected

Before delivery, renters must provide:

  • Signed Rental Agreement
  • Signed Liability Waiver
  • Any applicable security deposit

5. Fuel Policy

Equipment is delivered with a full tank of fuel unless otherwise noted.

Renters are responsible for returning equipment with a full tank. If equipment is returned without being refueled, fuel will be billed at the current market rate plus applicable service charges.

Fuel charges may be automatically processed using the payment method on file.

6. Rental Time Charges

Rental time begins at the scheduled delivery time or pickup time and continues until the equipment is returned or made available for pickup.

Rental charges apply for the full period the equipment is in the renter's possession, including evenings, weekends, and holidays, unless otherwise agreed in writing.

If you wish to extend your rental period, you must contact us prior to the scheduled return time. Extensions are subject to equipment availability, other booked reservations, and additional charges.

7. Late Return Charges

Equipment not returned or made available for pickup by the agreed due date continue to accrue rental charges at the applicable daily rate until returned.

If equipment is not accessible at the scheduled pickup time, additional delivery, trip. or standby charges may apply.

Failure to return equipment in a timely manner may also result in additional recovery or administrative fees.

8. Reservation Finality

All reservations are considered final once the $50 reservation deposit is processed.

Because equipment is reserved exclusively for your project dates and removed from availability to other customers, reservation deposits are non-refundable and may not be transferred or applied to future rentals.

We encourage customers to confirm schedules carefully prior to booking.

9. Equipment Protection Fee (EPF) - Optional Coverage

Renters may elect to purchase the Equipment Protection Fee (EPF) at checkout instead of providing a Certificate of Insurance.

The EPF:

  • Is equal to 12% of the total daily rental rate
  • Is a non-refundable service charge
  • Reduces the renter's financial responsibility to a maximum $1,000 deductible per covered incident.

Covered Accidental Damage

The EPF covers only:

  • Minor accidental damage during normal operation
  • Small dents, scratches, cosmetic damage
  • Minor hydraulic leaks not caused by misuse
  • Latent mechanical defects not observable during inspection
  • Manufacturer defects discovered during operation

Not Covered under EPF

The EPF does NOT cover:

  • Theft, loss, or vandalism
  • Misuse, abuse, neglect, improper operation
  • Overturn, collision, flooding, fire
  • Weather exposure
  • Unauthorized operators
  • Track or tire damage from spinning/skidding
  • Undercarriage damage
  • Hydraulic hose damage from snagging
  • Engine damage from low fluids or overheating
  • Continued operation after malfunction
  • Unapproved attachments
  • Operation under the influence

To select the EPF for your rental, choose the "Equipment Protection Fee" option under Additional Services during checkout, or call us to request the EPF be added to your rental prior to booking.
